Built for BAFE & NSI-approved companies
Every job, engineer and certificate. One flow.
FireFlow is field service software made for UK fire & security companies. Callouts, scheduling, BS 5839-1 and BS EN 50131 jobsheets, contracts, invoices and purchasing, all in one system your office and engineers share.
- Works on engineers' phones, no app to install
- Audit-ready jobsheets with signatures
- Hosted in the EU, backed up nightly

Follow one job
From the customer's call to money in the bank.
Every stage hands over to the next automatically. Nothing is retyped, nothing falls between the office, the van and accounts. Click through, or let it play.
A fault is reported
The office logs it, or the customer reports it themselves through their own portal. Open the callout and the Create job panel already knows the site and priority.
- Customer portal "Report a fault"
- Site pre-selected where FireFlow can tell
- Linked to the site's contract so its SLA is tracked
The right engineer is picked
Choose an engineer yourself, or leave it blank and the AI Scheduler suggests one. It weighs accreditation, free time, travel from that day's other jobs, priority and SLA, then explains why.
- Engineers without the right BAFE/NSI ticket are refused
- Confidence score and reasons for every suggestion
- Nothing is booked until you press Apply
The engineer follows each step
On their phone, the engineer taps Start travel, then Arrived on site. The jobsheet only unlocks on arrival, and the arrival time is recorded against the SLA.
- Steps can't be skipped, enforced by the server
- Directions and call-site buttons built in
- Runs in the phone's browser, nothing to install
A proper jobsheet, signed on screen
The questions follow BS 5839-1 for fire and BS EN 50131 for intruder work. It autosaves, and if the engineer recommends further work, a remedial quote is drafted for the office automatically.
- Required answers checked before completion
- Customer's name and signature captured
- Further work becomes a draft quote
The office checks it before the customer does
Tidy the wording or fix an answer, then Approve & send to produce the certificate. Every edit is logged field by field, and the customer's signature stays locked.
- Who changed what, when, old and new values
- Printable certificate in your company's name
- The callout closes itself when the job completes
Billed correctly, first time
One click creates the invoice, charged at the contract's callout rate and sent to whoever actually pays for that site, with a PO number checked if they need one.
- Planned contract visits are never invoiced twice
- Part payments and credit notes
- Overdue invoices flagged automatically

One system, every desk
Built for how each person in a fire & security company actually works.

How it compares
Specialist where it matters.
General field service apps are built for plumbers, cleaners and couriers. Spreadsheets and paper don't enforce anything. FireFlow is built around the standards, accreditations and contracts that fire & security work runs on.

Security & hosting
Your data stays yours, and stays separate.
Your own workspace
Each company gets its own web address. Data is kept apart by the database itself, not just the app.
Two-factor sign-in
Authenticator-app codes plus single-use backup codes, available to every user.
EU hosting
Servers in Germany or Finland, backed up every night. Fully managed, nothing to install.
Server-enforced roles
Admin, manager, office and engineer access is checked on the server, not just hidden in a menu.
Full audit trail
Every change to jobs, jobsheets, quotes, invoices and customers, with who made it and when.
Easy switching
Bring customers and sites across from a Clik CSV export. Existing records are matched, not duplicated.
FAQ
Questions we often hear.
Does it work on engineers' phones?
Yes. The engineer's view is built for mobile and runs in the phone's web browser, so there's no app to install or keep updated on each device. Engineers see today's jobs first, then upcoming ones.
Will it help with BAFE and NSI audits?
Jobsheets follow BS 5839-1 for fire and BS EN 50131 for intruder work. Every jobsheet is stored with its questions, answers, customer signature, timestamps and a full log of any office edits. FireFlow also tracks your company's accreditations and each engineer's qualification expiry dates.
Can we bring our data from Clik?
Customers and sites import from a CSV export, and existing records are matched rather than duplicated. Job and invoice history can be brought over as part of getting started.
Where is our data held?
In the EU, on servers in Germany or Finland, with nightly backups. Each company has its own workspace and web address, with data separated at the database level.
Does it connect to Xero, payments or SMS?
Accounting, payment and messaging integrations are being built now. Ask us in your demo about what's available and what's coming next.
How much does it cost?
We put together an offer around the size and needs of your company, so we talk pricing after we've shown you FireFlow and understood how you work. Book a demo and we'll take it from there.
How long does a demo take?
Around 20–30 minutes online. We follow a real day: a callout coming in, an engineer on site, the certificate, and getting paid. Then we answer your questions.
See it on your own work
Bring a real job. We'll run it through FireFlow live.
A 20–30 minute walkthrough shaped around your company: your callouts, your contracts, your engineers. Then we'll talk about what it would look like for you.
